Address Labels

In this guide, we will show how quick and easy it is to produce a set of address labels from Influence

Overview

Sometimes you might want to produce a set of labels for the companies/contacts in you database, perhaps to send out Christmas cards, or for a postal mailshot of some kind.

Producing labels is easy, and your Influence database has some built-in templates to help with this. These address label templates are based on commonly used label sizes from Avery labels - but lots of brands have equivalents to these standard sizes.



1. Producing Contact Labels

To produce labels is nice and simple - just follow the simple steps below.



Step 1: 
Go to the Contact workbench and run a search to identify the contacts for whom you wish to create address labels. 

TIP: You might want to use an Attribute to tag certain contacts, so that you can search for them, and easily build your list.
In that case just open the contact record, and go the the [Attributes] tab, then add the relevant Attribute to the contact.

Step 2: 
Once you have a list of the contacts on-screen, then click the Macro manager (⚙️) and pass the names over. 
In the macro manager set the method as L - Letter and then click the MS Word icon in the toolbar.
Use the drop-down to select the relevant Label Template to match the labels you are using.  
{There are many common label types listed, based on AVERY labels, such as L7163, which is 7x2 [14 labels], or L7160, which is 7 x 3 [21 labels] per sheet, etc.}


Step 3:  
Tick that you wish to Review [  ] the labels, and then press [OK]
The system will now generate an MS word document with the labels on it. You can them proceed to print this on your sheet of labels if you wish.



TIP:  Use a GROUP to hold all the Contacts who require a label
You may want to create a GROUP, and you can then use this GROUP as the basis of your Macro/Label.
e.g.  If you create a Contact GROUP called Xmas 2024, you can then easily go into contacts, and use the 'GROUPS' icon at the top of their contact card to add them to the GROUP.


 

Once you have your GROUP made, containing all the contacts you want labels for, you can easily see/display the GROUP on the [Contacts] workbench, and then pass it over to the Macro manager to make the labels.




2. Producing Candidate Labels

The process here is almost identical to that for contacts. Simply go to the Candidate workbench and run a search to find a list of the candidates for whom you rquire a label. Then pass these names over the the macro manager (⚙️) and then produce your labels.


Just follow the simple steps below.



Step 1: 
Go to the [Candidates] workbench (sometimes labelled as [Workers]) and either select a GROUP containing the candidates you want, or run a search to identify the candidates you require. Having identified the correct candidates, pass them to the macro manager using the (⚙️) in the toolbar.



Step 2: 
Within the Macro manager, change the method to L - Letter and then click the MS Word icon in the toolbar. You can then choose a label template (such as Avery L7160, or Avery L7163) and choose to Review [  ] labels.

TIP: If there are any candidates listed within the macro manager for whom you do not wish to produce a label, just untick their record within the Macro manager to excluse them.

Once you click [OK] then the system will produce a file in MS Word containing the labels, which you can then save or print as you wish.


TIP: As above with contacts, if you wish to create a GROUP you can then use that as a way to hold allof the candidates together, so that they can easily be passed over to the macro manager for labels.

e.g. Create a GROUP called Xmas Labels 2024, then add candidates to it.
Candidates can easily be added to a GROUP using the Groups icon in the toolbar of their record.
