IMPORTANT  INFO:  Accessing your database from abroad

If you are an Influence direct customer using a database in our hosted data centres, then please be aware that enhanced security is in place. In order to protect your data, when accessing from many non-UK locations, especially outside Europe, you will need to use a VPN that provides a UK-Based IP address. This is to help protect your data from hackers and other online threats. 


Typical VPN providers include Norton, NORD VPN, Express VPN, Cyberghost, etc. Influence do not endorse or recommend any specific VPN, but there are plenty of choices available online.


(NB: Some mainland European locations are allowed, but a VPN is always preferred. Always abide by local laws when using a VPN as this may be illegal from some locations.)

Features

Filter Planner by PARENT Organisation

If you are using the Parent/Subsidiary feature to link certain clients to their 'Parent' organisation, it is now possible to filter the [PLANNER] based on this PARENT organisation.

For example, If several clients are all part of the 'ABC' Group, and all have the same Parent set, then you can easily see any workers/bookings for Clients that are part of the 'ABC Group'by using the new Parent  filter on the planner.






Miscellaneous/Internal Developments

- Internal development - Delete Records by Status Audit Logs.


- When exporting details of Vacancies as a *.XML file, it is now possible to configure the system to export the whole vacancy reference in the export file and/or to use text from the 'Broadbean' tab if the [Advertising] tab has been left blank.

WEB Flag (18)- Use whole Vacancy Reference

WEB Flag (19) - Use BB Advert text if Advert Text blank.



Bug Fixes

- Fixed an issue when using the 'Weekly Booking' page of a Requirements type booking.

When filling an unfilled booking on a requirement through the Weekly tab grid, it was possible for the booking to be assigned to another booking requirement if the candidate had bookings within a week at the same client but on a different requirement.


- Fixed an issue when extending bookings that were based upon a [Pattern] - the system now correctly retains start/end times from the weekly pattern and calculates daily hours correctly.

Features

Ability to always display 'internal notes' when making a client booking

When making a client booking, the system will check any 'Compliance' items at the client before allowing the booking. If a client is not compliant then the system will display a message with details of the missing compliance, and then exit from the booking entry screen.


From this release forwards, there is an option for the system to display "Internal Notes" from the client after the compliance info has been displayed.  The feature can be activated with parameter TEMPS, Flag(56) - Show Int Book Notes if Client Cmpl Fails


Example:

After the Compliance Warning above, the system can then display any Internal Booking Notes from the client record.

Send a Calendar Item with Candidate Booking/Interview confirmations

When making a client booking, the system can be set to offer the chance to send a booking confirmation to the worker. It is now possible to get the system to send a calendar item as an attachment so that the user can add their booking(s) to their Outlook or Google calendar.  

(The same is true for Interview confirmation emails sent from the [Match] tab of a vacancy using the workflow items)

When the user receives the email they can simply click/open the attached *.ics file in order to add details of the bookings or interview to their own calendar.


The feature can be activated using the following parameters and the feature will only be active if the default method for booking confirmations and/or Interview confirmations is set to email.

PAYROLL - Flag 62 - Calendar Invite on Cand Booking Confirm  (Also relies on PAYROLLB Flag 52 for default email )

ENIGMA - Flag 45 - Calendar Invite on Cand Interview Confirm (Also relies on RECF Flag 3 for default email method)

Individual emails to 'Send' Automatically once passed to MS Outlook

Normally, when sending an email from Influence, pressing [OK] will pass the email to MS Outlook and the user gets the chance to see/preview the email before clicking 'SEND' (or Cancel).

It is now possible to indicate that the email template will be sent directly, as soon as the user clicks [OK] and there will be no chance to "Stop" this via MS Outlook.


Within the Influence Template Editor, the new Send Now [  ] tick box is used to control this behaviour.


NOTE: When using a Send Now type email, after clicking [OK] the user will be taken to a Preview screen in Influence and will need to click [Send] to pass the email to MS Outlook. At that point it cannot be stopped and will be sent.





Alternative colours for Compliance RAG Report (Accessibility change)

In order to accomodate those with visual disabilities such as colour blindness, it is now possible for an individual user to have different colours for the "RAG" reports, rather than the standard RED, AMBER and GREEN - which can be difficult to see. 

The new facility is activated with Parameters, and can be set for each user that needs it, individually.

Parameters, USER, Text (2, 3, 4) can be used to specify the alternative colours (Foreground/Background) for RED, AMBER and GREEN.



Candidate "Other Consultant" fields can be re-labelled

From this release the ten "Other Consultant" fields displayed on the [MISC] tab of a candidate/worker record can be explicitly re-labelled.

The labels for each of the fields are held in Parameters, RECF, Glossary (13-22)






Reference chase module now includes "stage" as part of the results grid

When using the Compliance/Reference chase module, the system will now display the "Stage" description taken from the relevant reference item on the candidate [Compliance] tab.





Miscellaneous/Internal Developments

- New parameter ENIGMA, Flag(44) - Use long vacancy number (7 digits)

Setting this parameter allows the vacancy number to be longer, e.g. VR/0000001 instead of VR/000001


Tip: If you do need to set this, it might be a good idea to offset the numbers, so use the system control to start the next vacancy number at VR/1000000, to avoid any overlap of numbers.  (Please speak to Influence support tema for help with this is you are going to need the larger numbers here.)


- Ability to re-label the "Doc Last Added" and "Last Checked Date" fields on the [MISC] tab of the candidate record.

These fields can now be re-labelled using Parameters RECF, Glossary (23,24)




- The grid of session IDs accessed from the [Sessions] button in HELP feature can now be sorted by any of the displayed columns. Simply click the relevant column heading to sort the grid.




Bug Fixes

- When creating a new 'On spec' match (single) for a candidate, the system allowed users to 'Free Type' into the CVs To field on the Match record; this should have been prevented - and the system now correctly prevents this.


- Fixed an issue that meant in some circumstances it was not possible to 'Right Click' on the workbench column heading to edit/amend the column layout for a view. This has now been corrected and the system should always allow views to be amended/edited.


- Added a check to ensure that contacts with importance set to <blank> were not used as authorisers when posting booking details to TSP (Timesheet Portal)


- Email domains that were set to blocked via Maintenance > Setup > Email Address Control were not blocked when emailing contacts via the Macro manager. The block only applied to candidate mailshots. This has now been corrected.


- Fixes and issue where the "Invoice Period" Filter within 'Additional Filters' on Timesheets was being ignored.
