Overview

Sometimes you would like to assign an attribute to several records.
e.g. You might wish to add an attribute for "Excel Expert" to several (or several hundred) candidates.
Rather than go into each record and add the attribute manually it is possible to add the attribute to all the record as a group.

How to Add an Attribute to several candidates

The basic process is:

1. Create a GROUP of all the candidates you want to add the attribute to.

2. Create the attribute you wish to add.

3. Use the Attribute Toolkit to add the attribute to all the GROUP members.

1. Create a GROUP

You will now need to create a GROUP of the records that you want. In the case of candidates it is usually best to do this from the [Candidates] workbench.

Run a search from the candidate workbench using criteria which will identify the people you want.

Having got a list of these people on-screen, use the Groups button at the left hand side and [Add to] a [New] Group.

2. Create the Attribute

Go to Maintenance>Setup>Attribute Maintenance

Select the relevant section and click the [+] above that section to add a new attribute.

Type the Description, then pres and ensure that a 'Short Code' is created.
When done click [Apply]

3. Assign the Attribute to the GROUP you created

Click the [Tools] button at the bottom left of Attribute Maintenance

Once the attribute toolkit opens up, select the attribute you want from the list on the left. Then use the drop-down at the bottom right to choose the GROUP you just created.

Finally, click the [Add] button to add the chosen attribute to the selected GROUP.

Once done, all the members of the Group will now have the chosen attribute assigned to them.

NOTE: In this example we have used candidates - but the same principle applies to contacts, clients or vacancies. Create a GROUP of the objects, then assign the attribute to all member of the GROUP.

How to Remove an Attribute from multiple candidates

The basic process is:

1. Create a GROUP of all the candidates you want to Remove the attribute from.

2. Use the Attribute Toolkit to remove the attribute to all the GROUP members.

This is similar to the process above.

Once you have created the GROUP of candidates, go to the Attributes toolkit.

In there, select the attribute to remove, select the GROUP you made, and then click [REMOVE]

TIP: If you want to totally remove an attribute from all records in the database, then you do not need to make a GROUP.
Simply go to Attribute maintenance, select the unwanted attribute and then click the [Strip] button at the bottom left to remove the attribute from all object in the database.

EXAMPLE: How to 'Move' an Attribute

The above abilities to add/remove attributes en-masse can be used to move at attribute from one section of the tree to another.

In the example below I might want to "move" the attribute 'Qlikview' from the Databases section, to the Finance section

To do this requires several processes.

STEP 1:  Use the [Candidate] workbench to search for all candidates who have the attribute qlikview. Create a GROUP of them all.

STEP 2: Go to Maintenance > Setup > Attribute Maintenance, and add a new attribute called 'Qlikview2' under the Finance section of your Attributes. {See our article on attribute maintenance for more info on how to do that.}

https://influence-helpdesk.freshdesk.com/a/solutions/articles/103000144442

STEP 3: Now go to the Attributes toolkit (Maintenance > Tools > Attributes toolkit or click [Tools] from within attribute maintenance.)

Firstly, select the GROUP you made in STEP 1, and add the new 'Qlikview2' attribute to all members of the GROUP.

Then, use 'Strip' to remove the original 'Qlikview' attribute.

FINALLY, go back into Attribute Maintenance, and blank out the Description and short code for the 'Qlikview' attribute to delete/remove it from the system.

You can then amend the descriotion of Qlikview2 to just Qlikview, if you like.

If you have followed the above instructions you will have successfully moved the attribute Qlikview from the Databases section, to Finance.
